School management software in Pakistan: what to look for and what it costs
By The Academy+ team · Published 16 Oct 2026
If you run a school, a tuition academy or a sports club, you have probably heard that software can replace the registers, the fee book and the stack of spreadsheets. It can. But the products look alike on their websites, and the wrong choice costs you a month of confusion and a lot of goodwill with staff. This guide is a checklist you can use with any product.
We make Academy+, so we are not a neutral voice. We have kept this guide about the choice itself, and we say where Academy+ fits only where it helps you compare.
The five jobs the software has to do well
Ignore the long feature lists. Almost every institution needs the same five things, and a product that does these well is worth more than one that does fifty things badly.
- Fees. Raise invoices for a month in one go, take part payments, give a receipt, and show at a glance who owes what. This is where most owners feel the pain first, so test it first.
- Attendance. Marking a batch takes seconds on a phone, and the record can be searched by student, batch and date.
- Results and report cards. Enter marks once and produce a report card you are happy to hand to a parent.
- Staff and access. Teachers should see their own batches, not the fee book. Salaries should be visible only to the people who need them.
- Talking to parents. A fee reminder or a notice should be one tap away, in the app people already use, which for most families is WhatsApp.
Ten questions to ask before you pay
- Can I try it with my own students and fees before paying, without entering a card?
- Does it work on a phone as well as a computer, and does it need an app store download?
- Who can see fees, salaries and phone numbers, and can I limit that by role?
- Can I raise a month of invoices for a whole class at once, and take a part payment against one?
- Can I bring in my existing student list from a spreadsheet, and take my data out again?
- What happens to my data if I stop paying or the trial ends? Is it deleted, or kept?
- What does the price include? Is it per student, per month, per branch, or per extra user?
- Is it priced in rupees, and can I pay by bank transfer?
- Who answers when something goes wrong, how quickly, and through which channel?
- Can I speak to a school or academy of my size that already uses it?
What it costs
Prices for this kind of software in Pakistan are usually a monthly subscription, though some products charge per student, a one-time licence, or an add-on fee for each extra user or branch. Whatever the model, ask for the total you will pay in your first year for your size, not the price on the front page. Watch for charges that grow quietly: extra staff logins, a second branch, text messages, and setup or training.
For comparison, these are the Academy+ plans as of 16 October 2026, in rupees per month:
- Academy Lite, Rs 2,999: up to 50 enrolled students, one location, one admin login. For independent teachers, coaches and small tuition centres.
- Academy Plus, Rs 7,999: unlimited students, one location, and logins for staff with their own roles (admin, teacher, accountant and receptionist), plus printable report cards and student ID cards.
- Academy Pro, Rs 12,999: two branches included, a Group Admin who sees every branch, and the Parent Portal.
Every plan starts with a free 14-day trial and no card. You pay by bank transfer, and you save 10% on six months or 20% on twelve. If a trial or paid period ends, the account locks and your data is kept, so you can come back by paying.
How to switch without losing a month
- Pick a clean start. The first day of a month is easiest, because invoices and attendance begin together.
- Set up the basics first: your classes and batches, your fee types and the discounts you actually give.
- Bring your student list in from a spreadsheet rather than typing it again. Check a few records by hand.
- Run the new system for a week alongside the old one for one class or one batch. Fix what confuses people before everyone is on it.
- Teach one teacher and one person from the office first. They become the people everyone else asks.
- Keep the old register until you have closed one full month in the new system and the totals match.
A fair way to decide
Shortlist two products. Give each the same afternoon: enter ten real students, raise a month of fees, take one part payment, mark one day of attendance and look at the result on your phone. The one you can do all that in without asking for help is usually the right one.
Try it with your own students
